Executive Assistant

WHO WE ARE:
Free Root Operation is an internationally recognized nonprofit dedicated to intercepting poverty-induced gun violence in Black and Brown communities through a lens of compassion and opportunity. The BLOOM Cohort is our premier initiative that empowers Black and Brown disenfranchised women to confront and defeat the barriers that have held them back from being active agents and changemakers for themselves, their families, and their communities. During the 6-month program, women engage in intimate educational wellness workshops, adopt new practices, build sisterhood, embark on leisurely excursions, and work with a curated wellness team to set and attain goals so that they may bloom! We are a Black women-led operation composed of stakeholders who have a commitment and tie to our community. As our operation grows, we seek to bring on individuals with a heart and mind to grow with us as well. As such, all team members are expected to exemplify an investment into our mission that supersedes the scope of their role in the operation.
 
 
WHO YOU ARE:
The Executive Assistant serves as the Executive Director’s direct aide and administrator. This role strikes the balance of partnering with the Executive Director on creative and program-specific projects, overseeing her day-to-day agenda, as well supporting company-wide initiatives. You are someone with a passion for gun-violence advocacy, community activism, and Black women empowerment along with knowledge of Chicago’s south and west sides. 
 
WHAT YOU WILL DO: 
You will act as the Executive Director’s “right hand,” managing her day-to-day calendar, travel, meetings, and appointments, as well as aide in the research, team tracking, and program assistance needed to ensure operational success, support the Executive Director, and allow us to better serve our community.
 
Job Responsibilities:
  • Manage the Executive Director’s (ED) calendar, correspondence, and speaking engagements at times attending in-person events with ED. 
  • Coordinate and book all travel for the Executive Director as needed and serve as her travel companion when necessary.
  • Create administrative systems and processes that optimize organizational success and functionality. 
  • Oversees the tactical day-to-day operations of Free Root Operation. (i.e. Office management)
  • Strategizes and leads the execution of the operations’ culture calendar inclusive of higher learnings, weekly initiatives, and team outings.
  • Assist in research, project management, and execution of special projects for the Executive Director.
  • Enacts donation pick up, planning, and event facilitation when necessary for the BLOOM Cohort.
  • Assess, support, and track departmental functions and volunteers.
  • Work with the Marketing and Media Strategy Coordinator to develop internal operation wide administrative documents, talking points, and production timelines. 
  • Volunteer with us during more intimate impact and programming opportunities.
Job Parameters
  • Open availability with no full-time responsibilities that will conflict with EA duties.
  • Willing to grow into a full-time capacity. 
  • Ability to transport goods.
  • Part-time, hybrid work with a flexible schedule. 
  • Required to work 4 shifts a week Monday to Friday. 
  • Works 25 hours per week.
  • Must have weekend availability. 
  • Compensation: $18.00 per hour.
Professional Experience 
  • Bachelor’s Degree (Social Science Majors with data familiarity strongly encouraged to apply!)
  • 1-3 years of fast-paced managerial or assistant experience
  • Computer literate and tech-savvy with proficiency in Excel and Google Suite
  • Familiarity with or willingness to learn TikTok and Instagram marketing
  • Experience analyzing and collecting data encouraged
  • Executive presence and excellent written and verbal communication skills
  • Experience proactively identifying challenges and offering creative and innovative solutions
