Office Specialist III

THE POSITION
The Long Term Services & Support (LTSS) area of Human Services Public Health (HSPH) is seeking to fill several Office Specialist III positions. We are looking for individuals who enjoy working with the public, have strong communication skills and a desire to help others while serving the community. Interested candidates will need to be flexible and able to handle a high-level of demanding situations, while providing excellent service to both employees, external partners, and Hennepin County residents. 
 
Location and hours:
These positions are remote. Remote workers may be required to come on-site an average of 0 to 12 days a year for work meetings, trainings, or for any other reasons that their supervisor may deem necessary (may include additional days for onboarding and new employee training). Supervisors will provide as much advance notice as practicable. Work hours will be Monday through Friday between 8 a.m. and 4:30 p.m. While these positions are designated as remote, based on current requirements hires must reside in Minnesota or Wisconsin.

New employees who are hired into remote or hybrid positions between January 2, 2022, to December 31, 2024, will receive $500 toward the cost of establishing consistent internet connectivity, payable upon completion of 6 months of employment.

Effective September 1, 2021, all new job offers are conditional based on the candidate being fully vaccinated for COVID-19. “Fully vaccinated” means 14 days after receiving the second dose in a two-dose vaccination series approved by the U.S. Food and Drug Administration (FDA) on a full or emergency-use basis, or 14 days after receiving a single-dose vaccine approved by the FDA on a full or emergency-use basis. In these positions, you will:     
  • Join a team of schedulers to work in a virtual call center to schedule initial assessments for 70-80 assessors OR join a team of office specialists to process pre and post work for Long Term Care and Development Disability annual assessments for 70-80 assessors.
  • Manage incoming requests over the phone or electronically via fax, email, and internal systems to explain a variety of requirements, policies and procedures regarding services and to resolve various customer concerns and issues.
  • Monitor emails and respond to work requests from assessors, supervisors, and area partners.
  • Request interpreters for assessments when necessary.
  • Maintain detailed and organized calendars in Outlook.
  • Open and close workgroups; assign and re-assign workers; and send out client letters.
  • Input, retrieve, interpret, and modify information stored in computerized systems including Social Service Information Systems (SSIS), Medicaid Management Information System (MMIS), Case Assignement & Rotation Log (CARL), Enterprise Communication Framework (ECF), MnCHOICES, and all Microsoft Suite programs.

Need to have:
  • One of the following:
  • Two years or more of full-time office clerical experience.
  • Completion of two years or more of post-high school education.
  • 18 months or more of office clerical experience and completion of the Office Specialist Pathway Training program or the Healthcare Clerical Pathway Training program.
  • One year or more of office clerical experience and completion of the Human Services Pathway Training program.

  • Experience:
  • Providing customer service via phone, on-line and/or in person.
  • Utilizing Microsoft Office, SSIS, ECF, and MnCHOICES.
  • Using computerized systems/databases and performing data entry. 
  • Providing service in a culturally diverse area and communicating with a diverse group of residents and coworkers.
  • Troubleshooting routine computer issues.
  • Ability to:
  • Serve and support customers using various communication methods, while giving clear and concise information and/or direction.
  • Work with external and internal customers professionally and with tact and discretion.
  • Take initiative and use sound judgement when solving problems.
  • Recognize and respect cultural differences and provide culturally appropriate services.
  • Read and follow complex instructions, work independently with minimal direction, prioritize work, and work well under pressure.
  • Plan, prioritize, and organize multiple tasks and assignments simultaneously, while maintaining attention to detail with a high degree of accuracy.
