Job Description (Roles and Responsibilities)  

Main purpose of job:
The British Consulate-General in San Francisco represents the UK diplomatically in 7 states throughout the Pacific North West: Northern California, Washington, Oregon, Alaska, Montana, Wyoming and Idaho. The Consulate is responsible for developing business and political relations between the Pacific North West and the UK; promoting public diplomacy; and offering Consular services for British nationals. 
The Consulate is now seeking an experienced and highly motivated individual to be its Corporate Services Officer (CSO) to help run its office. The CSO is responsible for office and facilities management, including IT and administrative support. It’s a busy and rewarding role, requiring resilience, a self-starting approach, and a high degree of flexibility. While a diverse set of skills and experience is required, on the job training is also provided.
Corporate Services sits at the heart of everything the British Consulate General does. The CSO role is critical to the smooth running of the Post, the Consul General’s residence, our satellite office in Seattle, and much more.
Roles and responsibilities / what will the jobholder be expected to achieve?:
  1. Office Management: You will be responsible for ensuring the smooth running of the office and all leased and owned residences. The day-to-day tasks will be varied, but can range from managing our equipment and supplies, to ensuring compliance with health and safety regulations.
  2. Estates and facilities management: You will need to manage the maintenance programme and oversee contactors at the Consulate General, the official Residence, and diplomat accommodation.
  3. Human Resources: Manage staff arrival and departure processes. These responsibilities include: managing the on-boarding process; setting up workstations and IT; serving as point of contact for new staff, fielding questions, and establishing processes to enable their smooth transition; arranging accommodation for new diplomats arriving from the UK; and overseeing the off-boarding processes – including completion and submission of all terminating employee forms.
  4. Finance: paying for and tracking monthly invoices, preparing expense reports, and drafting procurement bids.
  5. IT support: handling routine queries from staff during core hours, working closely with colleagues in DC and the UK. This includes troubleshooting system problems, maintaining IT and AV equipment, and administering shared mailboxes and calendars. FCDO-specific training is provided, however a reasonable understanding IT support is helpful.  
Essential qualifications, skills and experience  
  • Proficiency with Microsoft Office, especially Excel and Word
  • Excellent relationship management skills, and a collaborative outlook
  • Strong time management
  • Experience working in an administrative role
  • Interest in working with Information Technology
  • Patience, an open mind, and a flexible approach

Working patterns:
We promote family-friendly flexible working opportunities, where operational and security needs allow. The British Consulate aims to be as inclusive as possible of people’s commutes and schedules by encouraging flexible working patterns. We offer a hybrid work policy which generally enables people to work from home two-three times per week, as agreed with their Line Manager.
The nature of the role also requires the position holder to be available to travel to the official residence, and other diplomat accommodations, generally with at least 24 hours advance notice, but some flexibility may be required.
