Administrative Assistant - Endowments

This position will provide general support for the Endowment Administrator and the Planned Gift Administrator in Advancement Services. This person may periodically interact with donors, alumni, faculty and staff and answer general calls and questions via phone and email. Candidates should have strong written and verbal communication skills and commitment to confidentiality of information.
The Office Support Staff will provide support in these key areas:
·        Endowment processing: Upload perceptive content additions and updates for endowment files, manage the DocuSign process for endowment and other gift agreements, handle endowment stewardee additions and changes in Advance.
·        Enter updates to Fund Management database and Fundriver endowment software system.
·        Assist with the annual endowment donor reporting process and internal endowment reporting to various campus units and staff.
·        Answer general endowment inquiries such as: look up account balance information; assist with Fund Management database questions; check on endowment document status; pulling pdf copies of endowments from imaging software as needed.
·        Planned gift administrative support: Manage the life insurance premium payment process, assist with annual trust beneficiary reports, prepare and send correspondence at the direction of the Planned Gift Administrator, other support as needed.
·        General office support duties: field phone calls from donors, alumni and internal constituents; assist with mail merges and print projects; handle outgoing express mail; periodically act as a document courier to pick up and deliver documents across campus, including University Hall.
·        Other duties as assigned.

Preferred Qualifications:
·        Demonstrate excellent written and verbal communication skills
·        Self-starter who works well independently and has excellent judgment and attention to detail
·        Maintain high level of confidentiality of materials and information
·        Proficient use Microsoft Office applications: Outlook, Excel, Word, Teams, Access, as well as Zoom.
·        Actively demonstrate an attitude of willing service and teamwork
·        Ability to learn new technologies including Advance (alumni database), PeopleSoft (financial database), Perceptive Content (imaging software), DocuSign (signature software), Fund Management (internet-based gift fund database), Fundriver (endowment account software).


Work Hours: Monday – Friday 8-5
Salary: Compensation will start at $15.00
