Coordinator, Global Safety & Security

Summary
The Coordinator, Global Safety and Security (GSS) provides support for the implementation of Save the Children Reporter system and serves as liaison to the Safety and Security Focal Persons who subscribe to the system. You will provide coordination and administrative support to the Global Safety and Security team, including updates to GSS intranet webpages, working closely with other departments in ensuring efficient work and support of systems (including coordination, correspondence, etc.) and supporting the department by triaging and ensuring appropriate responses to related inquiries from Save the Children programs, managed accounts, vendors and partners. You will assist the Senior Director, GSS with planning and organizing security trainings, orientations and briefings and support with maintenance and management of travel safety and security support systems.
 
What You’ll Be Doing (Essential Duties, Responsibilities and Impact

Save the Children Reporter System Administration (20% LOE)
  • Coordinate efficient functioning of Save the Children Reporter system (on-line incident reporting and incident management) on behalf of subscribing Safety and Security Focal Persons (SSFPs);
  • Manage database, review of related user manuals and webpages;
  • Deliver orientation for new users, manage user IDs, registrations and updates, vendor communications, monthly and quarterly statistical updates, and reporting.

Provide department support and coordination (80% LOE):
  • Provide support to Senior Director, Global Safety and Security (SD, GSS) and other staff including drafting and managing internal and external correspondence, developing and maintaining business and travel calendars for the department, assisting with travel authorization requests and briefings management, scheduling meetings and trainings, assisting with taking notes, preparing presentations, and managing contact information for various networks, coordinate and track billing and invoices for the department;
  • Maintain and update GSS intranet webpages, manage distribution lists in GSS global address book, SSFPs and key partners contacts, work closely with other departments in ensuring effective work and support of GSS internal systems (server folders, hub applications), etc. Work with the Senior Director to ensure efficient and effective functioning of the departmental systems, including managing and implementation of policies and procedures, on-boarding and off-boarding, orientation and briefings, etc;
  • Assist Senior Director with providing direct safety and security management support in emergency responses and responding to inquiries from Save the Children programs and managed accounts;
  • Provide assistance with special projects as requested including planning and managing on and off site meetings, trainings, retreats;
  • Manage the documentation and coordination of annual operational plans, action trackers, annual goals and results, including the scheduling and planning of goal setting/ review sessions. Assist Senior Director, GSS with coordination of the department’s internal systems including: timesheet submission, drafting and distribution of staff meeting minutes, arranging video conferences/ conference calls/ weekly team meetings, managing the department’s subscriptions;
  • Assist Senior Director and GSS staff with the filing and maintenance of divisional Business Continuity Plans (BCPs) and phone trees, assist and contribute to improved staff orientation and staff support; assist Sr. Director, GSS with reports, and perform other duties as needed.

Required Qualifications
  • High school diploma or equivalent, plus at least two (2) years of relevant experience
  • Demonstrated ability to communicate and collaborate successfully with individuals and teams at all levels
  • Proven successful self organization abilities, and detail orientation
  • Demonstrated focus on providing a high level of responsiveness and customer service
  • Ability to follow established guidance, direction and policies
  • Professional proficiency in spoken and written English
  • Professional proficiency in MS Office Suite
  • Demonstrated ability to maintain confidentiality, capture assessment detail, accurately record data, maintain effective time management, conscientious follow-up
  • Demonstrated database management experience
  • Demonstrated commitment to fostering an environment of diversity, inclusion, and belonging
 
Preferred Qualifications
  • Experience with SharePoint-based applications
