Program Assistant

After School Matters provides Chicago high school teens with high quality, after-school and summer opportunities to explore and develop their talents while gaining critical skills for work, college and beyond. Since 1991, more than 350,000 teens have participated in our hands-on, project-based after-school and summer programs in the arts, communications and leadership, sports and STEM (Science, Technology, Engineering and Math). Programs take place at locations throughout the city including Chicago public high schools, Chicago Park District and Chicago Public Library locations, community organizations, downtown at the Gallery 37 Center for the Arts, in Belmont Cragin at our Michael and Karyn Lutz Center for After School Matters, and in the Pullman community at the new Gately Center for After School Matters. Summary of Position:
The Programs Assistant provides support for all aspects of program administration, quality, safety, compliance, program attendance, enrollment and retention. The Programs Assistant will support streamlining communication to providers, completing check requests, and support site visit as needed. Because the Programs Assistant will interface with various teams within After School Matters, they must demonstrate flexibility, eagerness to serve teens, and a willingness to pitch in with all aspects of the Programs team.

This temporary position is forecasted to work 21 hours per week through the end of June 2022.The hours worked must be between Monday through Friday, 8am-4:30pm, but are flexible within those parameters. This role involves in-person work with appropriate COVID-19 safety precautions.
 
Major Duties and Responsibilities:
  • Administrative Support:
  • Assist in the preparation and execution of special events and performances, as well as meetings and orientations(e.g., assemble document packets, set up materials and spaces, provide stage management).
  • Work in partnership to develop the Branch’s communication strategy for providers, parents and teens
  • Enter Data into CitySpan
  • Review, document, and submit check requests.
  • Trouble shoot teen application and other systems errors;
  • Point of contact for counselling referrals for the branch
  • Support Google Classroom troubleshooting for program providers
  • Support all Branch Committees to complete tasks
  • Program Quality and Compliance Support:
  • Support data tracking ,e.g., teen attendance, enrollment, program verification, and teen stipend
  • Develop and maintain relationships with program partners and instructors;
  • Provide backup support for short-staffed teams, including conducting site visits, support program renewal, and program budget input.
  • Millennium Park Tent (tentatively June 28th-August13th)
  • Provide support to in-person programs, including Program Specialists, instructors, and teens.
  • Distribute program supplies, boxed lunches, and water, as needed.
  • Reinforce in-person program expectations.
  • Other duties as assigned.

Qualifications:
  • Two years of experience working with youth required
  • One year of administrative experience strongly preferred
  • HS diploma or GED required
  • Experience in using CitySpan database and Google Classrooms a plus
  • Occasional evening and weekend hours may be required
