Program Administration Intern

After School Matters provides Chicago high school teens with high quality, after-school and summer opportunities to explore and develop their talents while gaining critical skills for work, college and beyond. Since 1991, more than 350,000 teens have participated in our hands-on, project-based after-school and summer programs in the arts, communications and leadership, sports and STEM (Science, Technology, Engineering and Math). Programs take place at locations throughout the city including Chicago public high schools, Chicago Park District and Chicago Public Library locations, community organizations, downtown at the Gallery 37 Center for the Arts, in Belmont Cragin at our Michael and Karyn Lutz Center for After School Matters, and in the Pullman community at the new Gately Center for After School Matters. Summary of Position:
The Program Administration Intern will develop skills in nonprofit program management. The Program Administration Intern position will provide support to all aspects of After School Matters programming in the After School Matters tent at Millennium Park. The intern will gain a broad exposure to the inner workings of a high-functioning nonprofit organization. They will assist the Program Directors, Program Manager and Program Specialist in overall administration and logistics of every day programming. The Program Administration Intern will perform work directly related to the general business operations of After School Matters.

This intern is expected to begin around mid May, working 15-20 hours per week until August 14, 2021. The hours worked must be between Monday through Friday, 8am-4:30pm, but are flexible within those parameters. This role involves in-person work with appropriate COVID-19 safety precautions.
 
Major Duties and Responsibilities:
  • Manage communication with program providers and other partners
  • Manage communication with teen participants and parents
  • Verify accuracy of program logistics and enter information into the Cityspan database
  • Assist in the planning and coordination of meetings and orientations
  • Provide administrative support to local partners and employers
  • Monitor teen attendance, enter payroll information, distribute pay checks
  • Support Programs department with tracking of expenses and data entry
  • Support program team with special initiatives, events, and recruitment needs as assigned
  • Monitor community partner compliance through weekly tracking of enrollment and attendance
  • Review, document, and submit check requests in relation to program activities –field trips and guest speakers
  • Verify teen participants have satisfied program requirements prior to award distribution
  • Collaborate effectively with the entire Program Division in an effort to support quality programming
  • Other duties as assigned

Qualifications:
  • Either (1) GED/High School Diploma and two years of work experience or (2) one year of college required.
