Greenheart encompasses three main branches: Greenheart Exchange, Greenheart Travel, and Greenheart Shop.
Within Greenheart Exchange, the Work and Travel (WT) Department has J-1 visa sponsor designation by the U.S. Department of State to bring international university students to the United States on a cultural exchange program (called Bridge USA) that allows them to work for a period of up to 17 weeks. Greenheart’s Summer Work Travel program is dedicated to extending the mission of cultural understanding, environmental consciousness, and world peace by connecting enthusiastic international students and American host organizations.
As one of the few environmentally consciousness J-1 visa sponsors, we pride ourselves on providing a quality experience while encouraging and enabling Greenheart staff, participants, and host organizations to work together on projects that promote environmentalism and sustainability.
Our Ideal Candidate:
The ideal candidate should be outgoing, organized, and flexible with changing priorities. They should have excellent customer service skills, time management abilities, and research skills. This person should be comfortable asking questions and taking direction from multiple staff. In a fast-paced working environment, the ability to oversee multiple projects and deadlines is essential in this role.
Duties:
As a member of the Program Support team, the Program Coordinator will provide general program support to Work & Travel department and other BridgeUSA programs within various departments at Greenheart Exchange. This support will include assigned operational tasks, ensuring a smooth placement process for all stakeholders, running daily reports to track divisional benchmarks and goals, and providing general on-program support for all participants. The Program Coordinator will work with various divisions/functional areas, including operations, services/placement, and partner relations.
Some things you may do in this position:
  • Provide day-to-day participant support by ensuring participants complete the required check-ins and submit evaluations, and by monitoring communications
  • Engage with participants to answer program questions, resolve program issues, and ensure compliance with program check-in and validation requirements
  • Provide general assistance in facilitating hiring events, including conducting virtual interviews with potential participants to evaluate English levels
  • Assist with day-to-day operational processing, such as reviewing program applications, processing program cancellations, granting job board access, reviewing change queue items, processing DS-2019 forms, etc.
  • Work with the functional area teams to manage self-placed (SP) program applications, job offers, host organization verifications, host organization account approvals, and host organization management
  • Create and update reservations into GEO (online database)
  • Collaborate with staff from various functional areas to develop and execute placement strategy
  • Carry the Work and Travel emergency phone and follow all Greenheart emergency phone procedures as assigned
  • Assist in meeting program goals, ranging from account approvals and placement benchmarks to seasonal and annual placement goals
Some qualifications that are given preference:
  • Minimum of an Associate’s degree. Bachelor’s degree or equivalent experience highly preferred.
  • Experience managing data and working in a customized database
  • At least one year of work experience, preferably in a non-profit setting
  • Customer service experience is a must, including proven experience resolving conflicts and managing sensitive situations
  • Experience managing a high volume of emails and telephone calls
  • Exceptional time management and organization skills
  • Excellent writing and verbal communication skills
  • Ability to work with a diverse group of stakeholders
  • Tech-savvy, proficient with Microsoft Office Suite, especially Microsoft Excel
·       Experience studying, volunteering, or working outside the U.S., and/or experience working in a multicultural and/or multilingual environment, a plus
